Vehicle Bill of Sale

Selling or buying a car privately without a bill of sale is asking for trouble. This one document proves the sale happened, records the price and the exact vehicle, and protects both sides after the keys change hands. Here is what it is, when you need it, and what to put in it.

What it is

A vehicle bill of sale is a document that records the transfer of a car (or motorcycle, van or other vehicle) from a seller to a buyer. It captures who sold what to whom, for how much, and on what date, and it is signed by both parties.

It matters because it is often the only proof that the sale took place. For the seller, it shows you are no longer the owner and no longer responsible for the vehicle. For the buyer, it supports registering the vehicle in your name and proves how much you paid. Many authorities ask for one before they will transfer a title or registration.

When to use it

Use a vehicle bill of sale any time a vehicle changes hands in a private sale, whether money is involved or it is a gift. It is especially important when selling as-is between individuals, where there is no dealership paperwork to fall back on.

Complete it at the moment of sale, with both parties present to sign. Each side keeps a copy. The buyer usually needs it to register and insure the vehicle, and the seller keeps it as proof the responsibility has passed on.

Questions, answered

Do I legally need a bill of sale to sell a car?+

Requirements vary by country and region, but many authorities ask for one to transfer registration, and it protects both sides either way. It is strongly recommended for any private vehicle sale.

Should a car be sold as-is?+

In private sales, yes, usually. An as-is clause makes clear the buyer accepts the vehicle in its current condition with no warranty, which is normal between individuals. State it plainly on the document.

Does a bill of sale transfer ownership?+

It records and proves the sale, and is a key part of transferring ownership, but you usually also need to update the title or registration with the relevant authority using it.

Do both parties need a copy?+

Yes. Both the buyer and the seller should keep a signed copy. The buyer typically needs theirs to register and insure the vehicle.
